Event Cancellation Policy
As a mountain biker, we at Epic Rides, Inc. are confident you know what it means to take risks. Much like dropping in on a steep rocky descent or committing to ride a distance outside of your comfort zone, risk is inherent in our sport.
The act of registering for an Epic Rides event, although not quite as dangerous as riding your bike, presents risks.
Epic Rides takes great pride in the high level of organization and scenic venues our events utilize. In order to assure each event is up to par with Epic Rides expectations it's critical we make sure nature is cooperating in effort to avoid unnecessary impacts on both the rider and the trails.
If an act of God or other event beyond our control occurs, what can event participants expect?
1. Epic Rides' decisions will be based on participant safety & environmental impact.
2. If the event is cancelled, participants will receive first right to sign up for the following years event via early registration.
3. Entry Fee: Epic Rides, Inc. cannot accept the risk of a cancelled event for reasons beyond our control. Participants are respectfully requested to accept the financial risk of their individual entry.
The what-what: Epic Rides, Inc. does not save any money if you do not participate. Epic Rides, Inc. needs to pay for all supplies and services associated with the event, regardless of the outcome. These include (and are not limited to) permits, 3rd party vendors, administrative expenses and awards.

For example, if you register a two person team on December 28th then your total fees will include $200 for registration, $10 per participant (total $20) for processing and a $10 per participant (total $20) minimum contribution for the event benefactor. Total cost will be $240.
This ride fills up fast. Field is limited to the first 1,800 participants. Register now if you want to guarantee your spot at this year's event. Epic Rides does not maintain a waiting list.
Contribution
This event has an additional $10 contribution in addition to the entry fee & processing fee (included in explanation above). This contribution will go towards the various local and national beneficiaries. The primary beneficiary for this year's edition of the Kona Bikes 24 Hours in the Old Pueblo is the Arizona Cancer Center.

Transfers or Modifications
Any transfers or modifications to your team (team name, team size, participant list, etc) will require your team's entry to be reopened & processed. Processing fees are as follows:

Epic Rides highly encourages participants to solidify their team prior to registration in order to avoid re-processing fees, but we understand that life happens. While entry fees are NON-refundable and NON-transferable toward other events, we will allow riders to transfer their entry fees to other riders.
Team transfers and modification, and solo modifications will be accepted until February 17th. Solo transfers will be accepted until January 7th.
To modify a team, mail the following items to Epic Rides, 2609 E Broadway Blvd, Tucson, AZ 85716:
•Team name and captain's name.
•Letter requesting a category change and/or list of rider(s) that is/are being replaced.
•Snail mail waiver from new rider(s). Digital copies will not be accepted.
•Check made payable to Epic Rides, covering processing fee.
To transfer an entry, mail the following items to Epic Rides, 2609 E Broadway Blvd, Tucson, AZ 85716:
• Letter from the registered rider requesting to transfer his/her entry; including registered rider's name and team name, new rider's name and new team name (if applicable).
• Snail mail waiver from new rider. Digital copies will not be accepted.
• Check made payable to Epic Rides, covering processing fee.
Epic Rides will email all parties to confirm the transfer/modification.
Packet Pick-up
Teams are highly encouraged to pick up Packets on Tuesday, Wednesday and Thursday in order to avoid lines. Only packets and posters will be available for pickup at the bike shops. Don't forget to pick up your T-shirt (if applicable) and water bottle in the Expo at the event.

If you intend to make any last second changes to your team the earlier you check in the better as it will take Epic Rides a few minutes to get you squared away. Your patience is appreciated.

Team captains are required to attend however Epic Rides also encourages ALL team members to attend as we will be discussing important details associated with each participant having the best time possible!
